How to Undo a Reconciliation in QuickBooks Online (and When You Shouldn’t)

By Harvey Vaughn · October 29, 2026 · 6 min read

You finished a reconciliation, then found a mistake — or the beginning balance next month suddenly doesn’t match. Undoing a reconciliation in QuickBooks Online is possible, but the option isn’t where most owners expect, and undoing the wrong one can make things worse. Here’s how to do it safely.

Before you undo anything

Undoing a reconciliation marks every transaction in it as unreconciled again. If you undo an older month, every later reconciliation may stop matching too. Before you start:

  • Run the reconciliation report for the period so you have a record of what was cleared
  • Identify the exact transaction that’s wrong — often you can just fix that one transaction instead
  • Make sure no one else is reconciling the same account

Option 1: Undo through QuickBooks Online Accountant

The one-click Undo button is only available to users signed in through QuickBooks Online Accountant — the version bookkeepers and accountants use. If you work with a bookkeeper or ProAdvisor, ask them to do it. In QuickBooks Online Accountant, the steps are:

  • Go to Settings (gear icon) or Accounting, then Reconcile
  • Select the account and open History by account
  • Find the reconciliation period you need to reverse
  • Click the arrow in the Action column and choose Undo
  • Confirm, then re-reconcile the period with the corrected transactions

Option 2: Unreconcile individual transactions yourself

Business owners without accountant access can still fix the problem transaction by transaction:

  • Open the account register (Accounting → Chart of Accounts → View register)
  • Find the transaction showing an R in the reconcile status column
  • Click the R until it changes to blank (unreconciled) or C (cleared)
  • Save, and accept the warning that the change affects a reconciled transaction
  • Correct the transaction, then re-reconcile the period

When the reconciliation won’t balance

Often the real goal isn’t undoing — it’s finding the difference. Check these first:

  • The beginning balance doesn’t match the statement: a previously reconciled transaction was edited or deleted — run the reconciliation discrepancy report
  • Duplicate transactions from the bank feed matched once and added once
  • Transposed digits (a difference divisible by 9 is a strong hint)
  • A transaction dated in the wrong month
  • Deposits still sitting in [Undeposited Funds](/blog/undeposited-funds-quickbooks)

How to avoid this next time

Reconcile monthly, never edit transactions in a closed period without a reason, and set a closing date with a password in QuickBooks settings. The full process is in how to reconcile in QuickBooks Online, and the habit fits into the monthly bookkeeping checklist.

If you’re facing several months of broken reconciliations, that’s a cleanup job — usually faster to fix in one pass than month by month.
